Scheduling Coordinator

Position Summary

The Project Scheduling Coordinator is responsible for keeping fence projects organized, scheduled, and moving forward. This position coordinates between customers, project managers, installers, subcontractors, material suppliers, and office staff to make sure each project is completed safely, efficiently, and on schedule.

 

The ideal person is organized, dependable, detail-oriented, and comfortable communicating with multiple people throughout the day. This position requires someone who can stay calm when schedules change, solve problems quickly, and follow through on commitments.

 

Key Responsibilities:

  • Schedule and coordinate fence installation projects from start to completion.

  • Communicate with customers regarding project schedules, access, site conditions, and completion dates.

  • Coordinate installers, crews, subcontractors, and equipment to ensure projects are properly staffed.

  • Confirm materials are ordered, delivered, and available before crews arrive on site.

  • Review project information to ensure crews have the correct scope, drawings, measurements, materials, and instructions.

  • Maintain accurate project schedules and update them as conditions change.

  • Coordinate with project managers and field personnel regarding job progress and scheduling needs.

  • Monitor active projects and identify potential delays or problems before they affect the schedule.

  • Reschedule crews and communicate changes promptly when weather, materials, site conditions, or other issues affect a project.

  • Keep customers informed of schedule changes and project progress.

  • Coordinate inspections, site access, utility locates, deliveries, and other requirements as needed.

  • Track completed work and communicate project status to the appropriate office personnel.

  • Help ensure jobs are properly closed out, including completion documentation and customer communication.

  • Maintain organized records of project schedules, communications, and job status.

  • Assist with resolving scheduling conflicts and field issues.

  • Perform other duties necessary to keep projects moving efficiently.

  • Strong organizational and time-management skills.

  • Excellent communication and follow-up skills.

  • Ability to manage multiple projects and priorities at the same time.

  • Strong attention to detail.

  • Ability to work effectively with customers, employees, subcontractors, and suppliers.

  • Ability to remain professional and solution-oriented when problems arise.

  • Comfortable using computers, email, scheduling software, Microsoft Office or similar programs.

  • Previous scheduling, dispatching, project coordination, or construction administration experience is a plus.

  • Valid driver's license and reliable transportation.
